From supplier document to candidate item specifics

Supplier data sheets rarely use eBay’s aspect names. A data sheet says “Overall width 45 cm” or “Article no. NL-2210-BK”; eBay asks for Item Width and MPN. Doc2Shelf extracts each attribute as it appears in the document, scores the extraction for confidence, and prepares candidate item-specific values in plain name–value form so they are easy to check and carry over.

The values are candidates, not final eBay data. Aspect names, allowed values, and which aspects are required depend on the eBay category and marketplace, so confirm each value against the category’s Required and Recommended specifics before you use it.

Drafting titles within eBay’s 80-character limit

eBay titles are limited to 80 characters, and eBay recommends using that space for the details buyers search for. Supplier product names are usually longer and written for catalogs, not search. Doc2Shelf drafts eBay-targeted titles that front-load the brand, product type, and key attributes taken from the document, without ALL-CAPS or promotional words.

Always check the character count during review. If an already connected account publishes a title longer than 80 characters, it is cut at 80, which can drop the attribute at the end — so shorten it yourself rather than relying on truncation. The examples below show the kind of compression involved; counts include spaces.

How the draft description is structured

A listing in Doc2Shelf is made of separate sections, so each part can be reviewed, edited, and exported on its own. For eBay-targeted copy, the specifications are written as explicit name–value pairs that mirror the candidate item specifics, and formatting is kept simple.

• Title: the eBay-targeted draft described above.
• Short description: one or two sentences on what the product is and who it is for.
• Long description: use, features, and context from the document, in plain paragraphs.
• Bullet points: the key facts a buyer scans first.
• Specifications: dimensions, materials, ratings, and identifiers as name–value pairs with units.
• GPSR information block: product-safety information prepared from the document for EU sales, where it applies to the product, including responsible-person details when the manufacturer is not established in the EU.
• Shipping, returns, and warranty terms are not part of the draft; they come from your own eBay business policies, so remove any such wording you find during review.

Review workflow before the copy is used

Nothing leaves Doc2Shelf unreviewed. A review gate blocks export and publishing until the listing has been marked reviewed, and any later edit invalidates that review, so the exported copy always matches what a person approved.

• Start with low-confidence extractions and compare their values with the quoted source pages.
• Resolve every [REQUIRED: …] placeholder, which marks information the document did not contain.
• Compare candidate item-specific values with the eBay category’s Required and Recommended specifics, and add values the document does not cover.
• Confirm brand, MPN, and GTIN against the manufacturer’s documents.
• Check the title length and remove any wording that is promotional or not supported by the document.
• Mark the listing reviewed; if you edit it afterwards, review it again before export.

Export formats and what to do with them

New users take reviewed eBay-targeted copy out of Doc2Shelf through generic CSV or JSON. These files contain the listing sections as text; they are not an eBay import schema and do not carry an eBay category ID or eBay’s aspect structure. Use them as the source for Seller Hub or for your own mapping into the tool you list with.
